Privacy Policy

Effective Date: August 20, 2025

RoofLetters.com (“we,” “us,” “our”) respects your privacy. This Privacy Policy explains what we collect, how we use and share it, and the choices you have. This Policy applies to our website, communications, and professional services, including virtual and on-site inspections and the preparation of engineering letters (collectively, the “Services”).

1) Information We Collect

Information you provide. Contact details (name, company, role, phone, email), project/claim details (addresses, claim numbers, AHJ or insurer notes), media you submit (photos, videos, drawings), scheduling preferences, and any messages you send us. For payments, our third-party processor collects and processes your payment information.

Information collected automatically. When you use our site, we may collect device and usage data such as IP address, browser type, pages viewed, referring/exit pages, and timestamps. We use cookies and similar technologies for essential functionality, analytics, and to remember preferences.

Information from third parties. We may receive information from contractors, property owners or managers, adjusters/insurers, authorities having jurisdiction (AHJs), consultants, and service providers (e.g., e-signature, CRM, scheduling, video conferencing). If you participate in a virtual inspection, metadata (timestamps, file names, and, if enabled, geotags) may be captured.

Sensitive or special categories. Our Services do not require sensitive personal information. If such information is incidentally provided in claim files or photos (e.g., people captured in the background), we process it only as necessary to provide the Services.

2) How We Use Information

We use information to:

  • Provide, schedule, and deliver our Services;
  • Evaluate conditions, verify code pathways, and prepare stamped engineering letters;
  • Communicate with you (service updates, confirmations, support);
  • Maintain records for quality, professional, and legal compliance;
  • Improve and secure our site and Services (analytics, troubleshooting, fraud prevention);
  • Comply with law, enforce terms, and protect rights, safety, and property.

Legal bases (where applicable). We rely on your consent (e.g., certain cookies), our legitimate interests in providing and improving the Services, contract performance, and legal obligations (including professional recordkeeping).

3) How We Share Information

We do not sell your personal information. We share information only with:

  • Service providers acting on our behalf (hosting, email, CRM, analytics, scheduling, payment, e-signature, video conferencing, secure file storage);
  • Project participants you authorize or where reasonably expected for the engagement (e.g., contractors, owners, adjusters/insurers, AHJs);
  • Professional advisors (attorneys, accountants) under confidentiality;
  • Legal and safety purposes (to comply with law, respond to lawful requests, or protect rights and safety);
  • Business transfers (e.g., merger, acquisition); we will notify you of any material changes.

4) Cookies & Analytics

We use essential cookies for site functionality and optional analytics cookies to understand usage and improve performance. Most browsers let you block or delete cookies; doing so may affect site functionality. We do not currently respond to “Do Not Track” signals.

5) Data Retention

We retain project and communication records for as long as needed to provide Services and for legitimate business, professional, and legal purposes—often for multiple years to align with engineering and recordkeeping obligations. When retention is no longer necessary, we delete or de-identify information.

6) Security

We use administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

7) Your Choices & Rights

  • Access/Update. You may request access to or correction of your information.
  • Marketing. You can opt out of non-essential marketing emails via the unsubscribe link.
  • Cookies. Manage preferences through your browser settings.
  • Deletion/Restriction. You may request deletion or restriction where applicable law provides such rights.

California residents. We provide a “Notice at Collection”: we collect identifiers (e.g., contact info), commercial information (project context), internet activity (site usage), and professional information for the purposes outlined above. We do not “sell” or “share” personal information as defined by California law and we do not use or disclose sensitive personal information for purposes that require a right to limit. You may request access or deletion as permitted by law.

EEA/UK users. If you are located outside the United States, note that we process and store data in the U.S. You may have rights to access, correct, delete, or object to processing, and to data portability, subject to legal limits.

8) Children’s Privacy

Our Services are not directed to children under 13, and we do not knowingly collect personal information from them.

9) Third-Party Links & Tools

Our site may link to third-party websites or integrate third-party tools. We are not responsible for the privacy practices of those third parties. Review their policies before providing information.

10) International Transfers

If you access the Services from outside the United States, you understand that your information may be transferred to, stored, and processed in the U.S., where privacy laws may differ.

11) Changes to This Policy

We may update this Policy from time to time. The “Effective Date” above reflects the latest version. Material changes will be posted on this page (and, when appropriate, communicated to you).
